1. About this policy
This policy explains how The Furnace BYU collects, uses, discloses, and protects personal information. The Furnace BYU is operated by Blake Seebaran as a sole trader (ABN 28 900 242 607). In this policy, "we", "us", and "our" refer to The Furnace BYU. "You" refers to anyone who visits our website, enters the event, or otherwise deals with us.
We are based in Queensland, Australia. As a small business, The Furnace BYU may fall within the small business exemption under the Privacy Act 1988 (Cth). Regardless, we handle personal information in line with the Australian Privacy Principles (APPs) as a matter of practice.
2. Scope
This policy covers information we handle through our website at www.furnacebyu.com, through direct contact with us, and at the event itself. It does not cover the collection and handling of information by third parties, including Race Roster, which operates under its own privacy policy (see section 5).
3. What we collect
We collect personal information in the following circumstances.
When you use our website. Our website is hosted on Squarespace. When you visit, standard technical information is logged automatically, including your IP address, browser type, device information, pages viewed, and the date and time of your visit. Cookies and similar technologies are used for analytics and site functionality (see section 8).
When you contact us. If you send an enquiry, request sponsorship information, or otherwise get in touch, we collect the information you provide, such as your name, email address, and the content of your message.
When you subscribe to updates. If you join our mailing list, we collect your name and email address.
When you enter the event. Registration is handled externally by Race Roster, not on our website. The information you provide during registration is collected by Race Roster. As the event organiser, we receive access to that information for the purpose of running the event. This may include your name, contact details, emergency contact, date of birth, gender, and any medical or safety information you supply, along with confirmation that you have accepted the event waiver. Payment details are handled by Race Roster and its payment processors; we do not receive or store your card details.
At the event. We may record safety and timing information during the event. We also take photographs and video for event records and promotion (see section 7).
4. How we use your information
We use personal information to:
operate and manage the event, including participant lists, timing, and safety;
communicate with you about your entry, event logistics, and results;
respond to your enquiries;
send event updates and marketing if you have subscribed;
administer sponsorship and partner arrangements;
maintain and improve our website; and
meet our legal, insurance, and safety obligations.
5. Race Roster and registration
Entries are processed through Race Roster, a third-party registration platform. When you register, you provide your information directly to Race Roster and your registration is governed by Race Roster's own privacy policy and terms, which we encourage you to read before entering.
Race Roster operates through a group of related companies, including an Australian and Oceania entity (Race Roster Oceania Pty Ltd), while the platform itself is operated by Race Roster North America Corporation. This means your registration information may be stored or processed overseas. We access the participant information you provide through the Race Roster organiser dashboard to run the event. We do not control how Race Roster independently collects, stores, or uses your information.
6. Who we share information with
We do not sell your personal information, and we do not share it with sponsors, partners, or anyone else for their own marketing.
We only disclose personal information where it is necessary to run the event or to meet a legal or safety obligation, specifically to:
Service providers who help us operate the event or website, such as Race Roster, our website host, email tools, and timing services, and only as needed for them to provide that service;
Medical or emergency services where necessary to protect someone's health or safety during the event, and insurers or advisers in the event of an incident or claim; and
Authorities where required or authorised by law.
7. Photography and media
The event is photographed and filmed. Images and footage may be used on our website, social media, in event materials, and in promotion for future events. By taking part in or attending the event, you acknowledge that you may appear in this material. If you would prefer not to be featured, contact us at raceday@furnacebyu.com and we will take reasonable steps to accommodate your request.
8. Cookies and analytics
Our website uses cookies and similar technologies through Squarespace for analytics and to support site functionality. These help us understand how the site is used so we can improve it. You can control or disable cookies through your browser settings, though some parts of the site may not work as intended if you do.
9. Overseas disclosure
As noted, registration information is handled through Race Roster. While Race Roster has an Australian and Oceania entity, the platform is operated from North America and your information may be stored or processed overseas. Some of our other service providers, including our website host and email tools, may also store or process information outside Australia. Where we disclose information overseas, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.
10. Data security
We take reasonable steps to protect personal information from misuse, loss, and unauthorised access, modification, or disclosure. Much of the information relating to the event is held within third-party platforms, such as Race Roster, that maintain their own security measures. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. Retention
We keep personal information only for as long as needed for the purposes described in this policy, including event administration, safety records, and legal, insurance, and accounting requirements. When information is no longer needed, we take reasonable steps to delete or de-identify it.
12. Your rights
You may request access to the personal information we hold about you and ask us to correct it if it is inaccurate. To do so, contact us at raceday@furnacebyu.com. We will respond within a reasonable time. There is no charge to make a request, though we may charge a reasonable fee for access in some cases.
Information collected through Race Roster is also subject to Race Roster's own access and correction processes.
13. Complaints
If you believe we have mishandled your personal information, contact us at raceday@furnacebyu.com and we will investigate. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
14. Changes to this policy
We may update this policy from time to time. The current version will always be available on our website, with the date of the last update shown at the top.
